Passwords: 12 characters or more. Each person has their own account; a code is emailed at sign-in on each new device.
Check your email
We have emailed you a six-digit code. It works for ten minutes.
Not arrived? Check the junk folder; it comes from the practice's address.
Set up two-step sign-in
Instead of an emailed code, a code from an app on your phone. Scan this with an authenticator app (Microsoft Authenticator, Google Authenticator, 1Password, Authy), then enter the code it shows.
Cannot scan? Enter this key by hand:
Where are you today?
You belong to more than one practice. Pick the one you are at; everything you see and write belongs to it.

The desk
Listening at reception
The microphone stays on, but audio only streams while there is sound at the desk; quiet costs nothing. When a conversation at the desk or on the phone ends, it is written up and filed on the patient's record, with anything the clinician should know before the visit. Staff chat and noise are dropped. Keep the notice on the desk.
offNot listening.
What is being said appears here as it is heard, one conversation at a time.
Set-up
The practice name followed by "speaking" always counts, whoever answers. A goodbye at the end of a call closes it after a few seconds rather than the full quiet period. Names are replaced with tokens before the summary is written; the AI never sees who it was. Transcripts are deleted after 30 days; the written note stays on the record.
Today at the desk
Nothing filed yet today.
Reports
How the practice is doing
Notes completed on time, the standards every note is checked against, activity by clinician, and who has signed in. Counted from completed notes, so it is only as good as what was written.
Pick a range and press Run.
Reminders
Still to do
Pulled from each completed note: referral letters, letters to patients or GPs, lab work and prescriptions to chase. Tick when done.
New chat
Structured advice on complications, planning, consent and compliance, from the evidence base and your local pathways. Alongside clinical judgement, never instead of it.

Templates
What a note looks like
One template per kind of visit. Howdy picks the ones that apply and fills them from the transcript. Tap one to open it.
Every save is kept.
Letters are written from the record in the shape of the template for their kind. Placeholders: {{PATIENT_NAME}} {{DOB}} {{R4}} {{DATE}} {{TO}} (the addressee block from Contacts) {{DENTIST}} {{PRACTICE}}. Every save is kept.
Post-operative instructions, advice sheets, consent forms, aftercare and reports: mostly fixed wording you have approved, with a few [[marked]] places the AI fills in from the patient's record and today's note. Generate them from the Generate button beside the note. Every save is kept.
Letterhead
One per site or per purpose: the practice, a second clinic, a specialist service with its own logo. Letters use today's site's letterhead unless a letter or document template says otherwise, and you can switch on the letter itself.
PNG with a transparent background looks best; it is scaled to fit.
How it will look
A4, as downloaded or printedWhen you forgot to press Transcribe, a script walks you through the visit one prompt at a time and the note is written from what you say. One script per kind of visit; the one that fits the appointment is offered first. Every save is kept.
Who letters go to: GP practices, specialists, hospitals and labs, with the people at each address and a note about them. Shared across the practice. Howdy uses them in three places: a referral mentioned in a consult is written with the full name and title from here; letters are addressed from here (the ones you use most come first); and Advice knows who to send people to. Say who you mean in a few words and Howdy finds the address for you to check and save.

Sites and your week
where you work each day, and what you do thereSites
Each site has its own letterhead (Templates, Letterhead) and its usual kind of work.
Your week
When you sign in, Howdy sets itself up for the day: that site's letterhead on letters, Advice in the right mode, and the aesthetics templates and scripts first on an aesthetics day. This is yours; each clinician sets their own.
Team features
off for now: Howdy is personal, your own list and your own notesWhen on: the whole-practice board (everyone's list, grouped by clinician, with Arrived), reception, nurse and manager accounts, the reception Desk recorder, the Reports tab, and more than one practice per account. Everything is built and waiting; nothing is lost by leaving it off. Your week and your sites above work either way.

Where things live
Records, notes, letters and photos: a Supabase Postgres database and private storage in London, encrypted at rest (AES-256) and in transit (TLS). Every row is tied to this practice; a signed-in member of another practice cannot see it, and nothing is readable without a signed-in, two-step verified account.
Audio: on the device while recording, in private storage only if the live stream drops, deleted when the visit is completed. Transcripts are deleted 30 days after completion. Letters are read on the device, not by the AI.
The AI (Claude, via Anthropic's API) receives the transcript and record context with every name replaced; never a name, date of birth, NHS number or R4 code. Anthropic does not train on API data. Transcription (AssemblyAI) runs in its EU region. API keys live only in the server functions.
This app: served over HTTPS with a strict content security policy (only its own code runs, no public CDN), and an append-only access log. Lock the computer itself when you step away.
Local pathways
who to call and where to refer, in your areaOne per line. Advice and Ask use these names, numbers and forms word for word whenever an answer says to call, refer or escalate, instead of a general "contact your local unit". Contacts with a phone number are added automatically.
Evidence base
the guidelines, standards and protocols that the second check, Advice and Ask quote fromAdd each guideline or protocol the practice follows, as a PDF or pasted text. It is split into passages and the ones that bear on a question are quoted by name. Mark each one dental, aesthetics or both. These are the practice's and apply on every device.
Starting library
Loads itself the first time the practice signs in and tops itself up when new documents ship: SDCEP, DBOH, NICE, BSP, CGDent, GDC, Resuscitation Council UK, the aesthetics standards (JCCP and CPSA, HEE, ASA and CAP, MHRA, DHSC, Keogh) and the ACE and CMAC complication guidelines. The second check reads every note against the passages that bear on it.
